Payroll requires a signed Student/Casual Worker and Research Assistant Letter of Appointment Form(available on the forms page) authorizing payroll to process your pay.
All students require a valid Canadian Social Insurance Number. The hiring department will hold all paperwork until a Social Insurance Number is provided. The guideline and application form can be located on the Service Canada website.
If this is your first time applying for a SIN, please review the guidelines which include the necessary pieces of identification required to obtain a SIN and the process for application.
Required Payroll Forms:
Payroll requires all students to complete a Student Worker and Research Assistant Letter of Appointment (available on the forms page).
All information on the form must be completed.
- Home addresses are required for mailing T4 slips at year end.
- Social Insurance Numbers help Payroll identify you properly in the event that there is more than one person with the same name.
- The rest of the information required must be completed by the department authorizing your payment ie. charge number, hours worked, dates worked, hourly rate, authorized signature and date.
International Students:
Citizenship and Immigration Canada requires that foreign individuals who wish to study at Canadian educational institutions must obtain Student Authorizations.
Immigration Canada allows International Students to work in Canada in limited situations, including:
When the employment is on-campus;
When the international student is the recipient of a scholarship;
When the work has been certified as being an integral part of the program of study;
When the work consists of academic research or a post-doctoral fellowship; and
When the work takes place after graduation in a field related to the program of study.

Foreign students must obtain a valid Social Insurance Number before requisitions are released.
Termination of Employment:
A Record of Employment for employment insurance through Human Resources Development Canada is available upon request. All students requesting a ROE should contact the Payroll Office at payroll@stfx.ca one week in advance.
