Transcripts of Academic Record


How to request a transcript:
Protection of Privacy legislation demands that we obtain authorization in writing prior to the release of educational information. Therefore transcripts are issued only upon receipt of the request form bearing the student's original signature. All financial holds must be cleared on the student account before the request can be processed.

Due to the high volume of requests received in January, processing time may require up to 7 business days.

Submit the completed form by:

•Fax 902 867-5458.
•Mail to Office of the Registrar, St. Francis Xavier University, 2329 Notre Dame Ave., Antigonish, NS, B2G 2W5
•Deliver the form in person to NT312
•Scan and email the form to the Office of the Registrar.
Include the full address or fax number where the transcript is to be sent. To hold for final grades (end of term processing) or degree posting, check the appropriate box.  Degrees are usually posted within 2-3 days of convocation.

Cost:
The cost is $10 per transcript copy. For an additional $15 per transcript, same day service is available if the request is received by 10:00AM. Additional charges will apply for fax, courier or Expresspost service.

All transcript fees must be paid at the time of the request. Payment methods include: cash; money order; cheque (payable to St. Francis Xavier University); debit card; credit card (Visa, MasterCard or American Express); or student account if you are currently enrolled.  Credit card information is stored in a secured environment.

Getting your transcript:
Transcript requests are generally processed within three to five business days, unless students have a financial hold or have requested that they be held for term grades, degree posting or other reasons. During the month of January, please allow seven to ten business days for processing.

Methods of delivery are: pick up (photo ID required); regular mail; Expresspost (available only within Canada); fax; courier. Transcripts that are sent by Expresspost or courier and then returned due to an invalid address will result in additional charges to the requestor equivalent to the original shipping charge. When a transcript is returned due to an invalid address, the Registrar's office is charged. To resend by Expresspost or courier, the requestor will be charged for the subsequent delivery attempt.

Transcripts sent by regular mail cannot be traced. In the event the initial transcript has not been received, another transcript request with payment must be submitted.

Transcripts requests that cannot be processed due to financial holds or invalid credit card information will be kept on file for one month.

In addition to the official transcript, students in the Outdoor Education and Elementary Mathematics Pedagogy Certificates require a letter indicating the completion of the certificate for the Nova Scotia Department of Education. This letter can be requested when the official transcript request is submitted.
